Most of our clients are already effective and productive. But they know that there must be a “higher gear” way of getting their work done – both at work and at home.

They already work well with their teams, know how to delegate, follow up and provide direction and inspiration.

I receive an overwhelming amount of input everyday.
“Input” includes emails, voice messages, phone calls, walk-in visitors, meetings with clients and ad hoc meetings (to name but a few). The time it takes me to deal with it all, results in me working long hours and weekends. It often eats into time that I could be spending with my family, exercising or taking some much needed rest. I’m stressed!

I often feel disorganised by physical and mental “clutter”.
My predecessor has left an untouched mess of disorganisation and I don’t know where to start. Many of my paper documents are not available electronically. There are duplicate files and folders, out-dated monthly and annual reports, indiscriminate notes, names and numbers. I can’t see the wood on my desk anymore!

I hate clutter and realise how unproductive it makes me.
Every item in my field of vision keeps on tugging at my attention. I find it hard to focus on anything for any length of time because my mind gets triggered by all these “open loops” in my physical space. I find myself hopping from one thing to another without completing many of the tasks I set myself out to do. As a result – I’m often behind!

I don’t yet have a logical system for managing my e-mail
I find that I tend to use my e-mail Inbox as an organising tool and leave all e-mails that still require action right there in my Inbox. Sometimes they’re flagged for follow-up action, but typically I have 50 or more e-mails in my Inbox at any given point in time.

My “IN” tray is overflowing!
And it creates this gnawing sense of anxiety because I am not sure (or simply can’t remember) what is still “hidden”, what’s been read, what should be filed or deleted?

I can’t find critical information when it’s needed most.
For example, if a client wants to schedule a meeting right now, I inform them that I can’t unless I get back to the office or phone the office to confirm it first.

My team is not consistently good at keep commitments and they often don’t finish their tasks on time.
Feedback is often vague, unfinished and / or late. I sometimes lose the thread on a critical task I’ve delegated because the person has not performed.

My information management software is Microsoft Outlook, but I know I’m not using it nearly to its full capabilities.
I generally use Outlook for email and calendar items. I have seen Tasks, Contacts, Notes and Journal – so there must be a lot more. I wish I knew how to use it properly…
